CANCELLATION POLICY
SECTION 1 | DAY RATE BOOKINGS (Shoot Days & Live Streaming)
Notice Given | Result 14+ days | Deposit applied to a rescheduled date OR refunded minus a $50 admin fee. 7-13 days | 50% of deposit forfeited; remaining 50% transferable to a rescheduled date within 60 days. 3-6 days | Full deposit forfeited; no reschedule credit. 48 hours or less / No-Show | Full deposit forfeited + 50% of remaining balance owed.

SECTION 2 | HOURLY SERVICES (Post-Production, Editing, Scripting, Pre-Production)
Notice Given | Result 48 or more hours | No fee assessed; session rescheduled at no cost. 24 to 47 hours | A minimum of one (1) hour billed at the applicable hourly rate. Less than 24 hours / No-Show | Full session minimum billed at the applicable hourly rate.

SECTION 3 | PROJECT PACKAGES
Stage at Time of Cancellation | Result Pre-production not yet commenced | Deposit forfeited; Agreement terminated; no further financial obligation. Pre-production or production underway | Deposit forfeited; all completed work billed at standard OPDF hourly rates. Post-production or editing phase commenced | Full project balance is due and payable.
SECTION 4 | MONTHLY CONTENT RETAINERS
Monthly Content Retainer Agreements are governed by the terms of Contract 13 (Monthly Content Retainer Agreement). Written cancellation notice must be submitted no later than thirty (30) days before the next billing cycle renewal date to Billing@outlawpoetdigitalfilm.com with subject line "Retainer Update - \[Client Name\]." No partial-month refunds are issued once a billing cycle has commenced.
SECTION 5 | RESCHEDULING
Rescheduling with seven (7) or more days of written notice is provided at no charge; the deposit transfers automatically to the new date. Rescheduling with fewer than seven (7) days of notice is treated as a cancellation under the terms specified above. All reschedule credits must be applied within sixty (60) days of the original booking date.
SECTION 6 | FORCE MAJEURE

Neither party shall be held liable for cancellation or delay resulting from circumstances beyond their reasonable control, including but not limited to medical emergencies, family bereavement, severe weather events, natural disasters, or government-mandated restrictions ("Force Majeure Event"). In the event of a verified Force Majeure Event, the affected party must provide written notice within forty-eight (48) hours of the triggering event. Upon verification, any deposit paid shall be transferred - not forfeited - to a rescheduled date mutually agreed upon within one hundred eighty (180) days of the original booking date. No penalty fees shall be assessed to either party under these circumstances. This clause does not apply to scheduling conflicts, financial hardship, or circumstances that were reasonably foreseeable at the time of booking.
SECTION 7 | GENERAL PROVISIONS
7.1 Deposit Policy All deposits are non-refundable except as explicitly stated above. Deposits confirm your booking and are applied toward your total project balance - they are not an additional charge.

7.2 Written Requests Required All cancellation, rescheduling, and retainer modification requests must be submitted in writing via email. Verbal requests will not be honored. Submit all requests to: Billing@outlawpoetdigitalfilm.com.

7.3 No-Show Policy A "no-show" is defined as failure to be present or accessible at the agreed-upon shoot time or session start without prior written notice to OPDF. No-show fees apply as stated in each applicable service section above.

7.4 Disputes Any disputes arising under this policy shall be governed by the laws of the State of Colorado. Both parties agree to attempt resolution through direct communication in good faith before pursuing formal legal action. Venue: El Paso County, Colorado.

7.5 Amendments OPDF reserves the right to update this policy at any time. Clients with active agreements are governed by the policy version in effect at the time of contract execution. Updated policy versions will be posted to outlawpoetdigitalfilm.com/cancellation-policy.
